Our Onboarding Process
- Customer
- Candidate Sourcing by Vandey: Customer sends confirmation on selected candidates in case of recruitment.
- Employee EOR Transition: Customer shares information to contact the employee for Vandey onboarding formalities.
- Candidate Sourcing by Customer: Customer shares the selected candidate's details.
Initial Confirmation & Documentation

- Candidate Sourcing by Vandey: Once the customer approves the cost estimate for the finalised candidate we start onboarding process.
- New Joinee Documentation link is shared with every candidate, irrespective of their mode of recruitment.
- Vandey shares draft offer letter with customer within 24 hours.

- Customer reviews and approves the drafted offer letter
Offer Letter Processing
- 24 hours
Offer letter draft: 1 days
Submission: 2 days
- Vandey
- HR/Finance team reviews the submitted New Joinee form inputs.
- Post approval and verification of the documents, offer letter is shared with candidate.
- Background verification initiated.
- Customer
Employment Agreement
- 2 working days
- Vandey
- Draft Employment Agreement issued within 24 hours to the customer for approval.
- Candidate sends resignation confirmation to Vandey HR.
- Background verification completed.

- Customer reviews and approves the employment agreement.
Signing of Employment Agreement
- Up to 3 business days
- Vandey
- HR shares Employment Agreement with employee through Zoho sign.
- Should the employee have questions or doubts regarding the employee agreement, Vandey will address the same.
- Once the employee signs, the customer is notified.

- Customer shares details of IT assets or office space related information for procurement.
Logistics Requirements

- Coordinates procurement of IT assets, real estate, and daily operational needs.
- Manages IT asset sourcing and provides full IT support across India.
- Assists in defining workspace strategy
- Searches, leases, and signs retail agreements, handling all documentation
*IT assets and other operational needs procurement by Vandey, as per customer specifications, occurs in parallel with new joiner formalities.

- Arranges IT kit and materials or requests Vandey to provide them. (As preferred by Customer)
Pre-joining Coordination
- Vandey
- Hands over IT kit to candidates
- Updates documentation as needed
- Follows up with candidates until joining for smooth operations

Onboarding Completion
(Employee Induction)

- Joining confirmation is shared with the employee.
- Vandey sends all policies related to the employee.
- HR conducts induction with welcome and introduction emails.
